The Sales Operations Specialist supports the effectiveness and scalability of the sales organization by managing sales processes, maintaining accurate data, coordinating operational workflows, and delivering reporting that helps leadership make informed decisions. This role works closely with Sales, Finance, Operations, Customer Service, and Marketing to improve efficiency and support revenue growth.
Maintain accurate customer, opportunity, product, pricing, and sales activity data in the CRM system.
Monitor sales pipeline activity and identify missing, outdated, or incomplete information.
Produce recurring sales reports, dashboards, forecasts, territory analyses, and performance summaries.
Support sales representatives with quotes, pricing approvals, contracts, order forms, and customer documentation.
Assist with sales territory assignments, lead routing, account assignments, and customer ownership updates.
Coordinate with Finance and Accounting on commission data, sales-credit questions, payment status, and revenue reporting.
Partner with Operations and Logistics to address product availability, order status, fulfillment issues, and delivery timing.
Document and improve sales procedures, workflows, templates, and standard operating practices.
Support onboarding by preparing CRM access, sales materials, process documentation, and training resources for new sales employees.
Help administer sales tools, including CRM platforms, reporting systems, proposal software, and communication tools.
Track sales performance against quotas, targets, and key performance indicators.
Assist with sales meetings, quarterly business reviews, training sessions, and planning activities.
Identify process inefficiencies and recommend improvements that reduce manual work and improve data quality.
Maintain confidentiality of customer, pricing, commission, and sales-performance information.
Strong analytical ability and attention to detail.
Advanced proficiency in Microsoft Excel, including formulas, pivot tables, charts, and data analysis.
Proficiency with Microsoft Office, including Word, PowerPoint, and Outlook.
Ability to organize, validate, and interpret sales and customer data.
Strong written and verbal communication skills.
Effective project-management, prioritization, and follow-up skills.
Ability to work independently while collaborating across multiple departments.
